Enterprise Records and Health Information currently has an outstanding opportunity for a
Release of Information Records Analyst.
Under the general supervision of the Release of Information Manager in Enterprise Records and Health Information (ERHI), the Release of Information Records Analyst is responsible for implementing the mission and goals of Enterprise Records and Health Information and incorporating information governance principles whenever appropriate. The Release of Information Records Analyst position is responsible for assisting with electronic records integrity, access, release initiatives, and audits, including the legal medical record and designated record sets throughout units and teams in ERHI. The ROI Records Analyst is also responsible for communicating with UW Medicine Compliance, UW Medicine IT, and other stakeholders, about the status of records initiatives related to identity, access and release of records, including the legal medical records and designated records sets. The ROI Records Analyst is responsible for ensuring accurate analysis of records being released, and assists with the prevention of unauthorized disclosures. The ROI Records Analyst assists with quality review and audits of electronic content to ensure content integrity. The ROI Records Analyst is responsible for developing and interpreting productivity metrics, and assists in meeting fiscal and clinical transformation goals.
70% Assists with monitoring and tracking requests for records, including medical records and prioritizes requests for records according to date and deadline. Ensures legal and regulatory deadlines are met to avoid penalties and risks to UW Medicine. Ensures records released meet HIPAA requirements, as well as other federal and state laws and regulations with regard to privacy and access. Collaborates with UW Medicine Compliance and other stakeholders regarding on-time releases and tracking. Ensures records released are analyzed in accordance with the parameters of the requests and includes reviewing content and verifying completeness of the record before release. Analyzes and responds to requests for sensitive information, such as subpoenas, court orders, risk management and investigatory requests, and is responsible for ensuring that legal requirements are met when complying with these requests. Issues official communications and responses on behalf of the department. Ensures compliance with legal requests by providing timely correspondence and responses to the issuing attorney or court; abstracting and compiling medical records in response to the requests and ensuring timely delivery and responses. Analyzes records to ensure information necessary is provided in a timely and accurate manner.
30% Assists with reviewing and verifying patient identity utilizing Epic tools and other resources. Assists with auditing scanned records, including medical record documents, ensuring the integrity of the content of the database. Collaborates with ERHI Operations team for updating and adding content and resources to SharePoint team sites for Release of Information, Patient Identity, Chart Corrections, and Scanning. Tracks and reports productivity and other metrics related to volume, productivity and integrity of electronic records including the legal medical record and the designated records set. Applies naming convention standards to indexing and work assignments. Acts as subject matter experts regarding Epic and other reporting tools. Ensures accuracy of metrics and assists with the creation of standard reporting procedures. Acts as subject matter expert regarding departmental databases, including the legacy data management system, electronic portals, and Epic. Collaborates with other ERHI stakeholders and acts as subject matter expert regarding releasing records (including public record releases), patient identity, and content integrity. Completes special projects as assigned, including providing back up for other teams such as patient identity, depending on changes in work volume, assisting in the development of office documentation, job aids, and training materials. Performs other duties as assigned and as needed.
Assists the ROI Supervisor in developing and supporting access initiatives by communicating with payers and providers, and validating and responding to requests for access to UW Medicine’s electronic medical record; sponsoring and implementing payer and provider access initiatives, such as the U-Link program. Coordinates with User Access Administration and Strategic Outreach, ensuring timely handling and responses to requests for access to UW Medicine electronic medical records.
Bachelor’s Degree and two years of records analysis experience. Additional qualifying experience may be substituted, year-for-year, for required education.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL DEPARTMENT REQUIREMENTS:
Knowledge of Epic and other document management applications (such as OnBase).
Knowledge of release of information procedures.
Knowledge of medical records content; knowledge of audit procedures.
Proficiency with Microsoft Office Suite, including Excel.
Ability to manage time effectively and to work in a high volume, high accuracy work environment.
Ability to communicate effectively and to work in a collaborative team environment.
Ability to maintain confidentiality. DESIRED:
Knowledge and experience using SharePoint.
Certification as a Registered Health Information Technician (RHIT) or records management.
