The New York office of WATG is hiring an Office Manager.

Office Coordinator
Independent from the start and still firmly rooted in hospitality, WATG is a global multidisciplinary design firm attuned to the unique needs of destination design. Comprised of five collaborative studios—Strategy, Planning, Architecture, Landscape, and Wimberly Interiors—WATG has been designing landmark destinations since 1945, shaping timeless spaces and places that span the globe. We are a team of 400 creative professionals across three continents with offices in Southern California, Honolulu, New York, London, Singapore and Shanghai.
The new NYC location of WATG is hiring an Office Coordinator.

This individual is responsible for being the welcoming face and voice of WATG & Wimberly Interiors. This position will report into the Operations Director in NYC and directly supports all levels of employees, as well as clients and vendors. The Office Coordinator shall demonstrate a professional and courteous demeanor at all times.

The successful candidate will have a minimum of 2-3 years of relevant experience with a mid-sized organization. This role requires top notch customer service skills. The successful candidate will have the confidence to comfortably liaise and interact with clients, consultants, vendors and internal staff, with the ability to prioritize and organize. You must have strong verbal and written communication skills and the ability to effectively gather and disseminate information, have a professional appearance and proper business etiquette at all times; be able to respond to a multi-tasking job schedule whilst adhering to the daily reception routine.


Responsible for the security of the front doors, unlocking and locking the entrance in the morning and evening.
Accept and distribute incoming and outgoing mail and packages
Answer multi-line telephone system; determine purpose of callers, and forward calls to appropriate personnel or department
Via phone, answers questions about organization and provides callers with address, directions, and other information as appropriate
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
Maintains Outlook calendar for conference rooms and schedules meetings accordingly
When needed, assist with ordering food for required meetings
Assist with planning and coordination of office events
Performs other clerical duties as needs, such as filing, photocopying, and collating
Assist with scheduling of vendor presentations
Ability to move self around the office, including bending, stooping, lifting and carrying
Ability to lift or move objects up to 25 pounds
Maintains documents by preserving, moving, organizing, boxing, re-labeling, retrieving, filing, and storing to company guidelines
Prepares for schedule shredding by moving and stacking boxes and breaking down and folding boxes.
Assist with conference room setups
Assist in general overall office neatness

Coordinate / maintain equipment maintenance
Oversees coordination of the building and office fobs.
Coordinates the ordering of office and drafting supplies, ordering coffee and refreshment supplies, kitchen maintenance, distribution of office equipment, coordination of errands and general upkeep of the storage rooms with the Operations Director.
Check copier machine & printers to make sure they have sufficient paper supply.
Ensure tidy public areas, including supply area and print room
Run errands as needed
Maintain kitchen: Loading/unloading of dishwashers, restocking beverage cooler, snack items, coffee and tea supply
Organizes and files project paperwork; maintains documents storage for both computer files and hardcopy files; maintain archive files and coordinates retrieval of archived files
Move office furniture and professional staff workstations as needed
Assist with collection of recycle paper for pickup
Will perform other duties as assigned by the Operations Director
