Job Description :
Works as a team member on a dedicated resource team (Virtual Legal Assistants “VLA”). Will provide secretarial and administrative support for a number of assigned associates, staff attorneys and practice professionals.

Williams Lea is hiring for a (Hybrid) Virtual Legal Administrative Associate for our Columbus or Wheeling office to work Monday to Friday, Dayshift.

Pay: $17.00 – $19.00/hour

The Virtual Legal Administrative Associate is a professional delivering exceptional customer service to external stakeholders. The VLA will provide dedicated secretarial / administrative support to participating associates, staff attorneys, and other practice professionals across all US firm offices.

Essential Functions:
(List the essential duties and responsibilities in descending order by importance, focus on larger components of job as priority.)

Primary duties include: Word processing, coordination of work production including interaction with other departments, phone coverage and travel. Secondary duties include: check requests, timekeeping, expenses, filing, mailings, printing, scanning
Follows VLA leader’s direction on day-to-day responsibilities and best practices
Coordinates absences, lunch breaks, etc. with VLA leader and other team members and adjusts work schedule as needed (with supervisory approval) to ensure consistent and uninterrupted coverage
Receives assignments from associates, staff attorneys, practice professionals or team members and performs tasks as requested. Utilizes alternative resources when a request cannot be fulfilled by the team or can be fulfilled more efficiently through another resource and ensures tasks are performed as requested
Updates associates regarding receipt and status of tasks and consistently meet agreed upon deadlines
Understands and adheres to specific associate preferences
Enters all tasks into electronic work intake system as required
Attends training as needed to ensure adequate support for assigned associates
Performs other duties as assigned or required to meet Firm goals and objectives

Qualifications

Education/Training/Certifications:
(required or preferred)

High School diploma or equivalent required

Professional Experience:
(required or preferred)

2 years legal secretary experience preferred
Knowledge and proficiency in working on documents for relevant practice areas required

Technical Skills:
(required or preferred)

Typing of 70 WPM preferred
Proficiency in Microsoft Office products

Performance Traits:
(i.e. analytical, communication skills, problem-solving abilities, etc.)

Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
Ability to work under pressure, meet deadlines with shifting priorities
Must be a self-starter with a high level of initiative
Strong customer service skills, able to anticipate needs
Strong attention to detail, organizational skills and the ability to handle multiple projects
Maintains confidentiality and exercises discretion
Exercises solid strategic thinking and problem-solving skills
