The School of Social Work has an outstanding opportunity open for a
CWTAP Program Assistant.
Characteristic Duties and Responsibilities
The Program Assistant for the Child Welfare Training and Advancement Program at the University of Washington School of Social Work, under general supervision, will perform a variety of assignments for CWTAP faculty and staff requiring specific knowledge of the program, the ability to multi-task, prioritize and work at a fast pace.
Admissions related duties include, recruitment mailings, production of informational brochures and application packets, collation, and assembly of application materials into files, tracking of responses for admissions reports and scheduling interviews. The Program Assistant will ensure the accuracy, and completeness of all submitted applications and accompanying paperwork. He or she will serve as liaison between CWTAP faculty, staff, and prospective students.
Technical tasks include the general management and upkeep of the CWTAP email account as the main source of sending and receiving information from prospective, current, and graduate students. Extensive telephone, email, and in-person interactions is necessary, with frequent communication with prospective and admitted students as well as faculty, staff and external program officers.
The Program Assistant will provide program and operational support including sending letters to students, coordinating meetings and special events, generating reports for CWTAP staff and other duties, as necessary. He or she is expected to exercise exceptional organizational and project management skills, enthusiasm, energy and strong communication and teamwork skills.
This position serves as a member of the CWTAP team. CWTAP has made a commitment to confronting anti-racist and anti-oppressive issues as they are manifested in the work that CWTAP address. As a result, the Program Assistant will have the option to attend trainings, workshops, and meetings related to this extra-curricular work.
High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.
Two years of experience coordinating office and program operations and a minimum of one year experience in a social services or research setting.
Must have computer experience developing and managing databases (Microsoft Access and Excel applications preferred).
Must have demonstrated oral and written communications skills, with particular emphasis on customer service and ability to interpret procedures and guidelines.
Must have experience planning and coordinating meetings and events.
Attention to detail, strong organizational, interpersonal, and team-building skills is required.
Bachelor’s degree in Social Work.
Familiarity with Department of Children, Youth and Families’ FAMLINK Information Systems.
An aptitude and interest in graphic design, desktop publishing, and spreadsheet software would be beneficial.
Conditions of Employment
Employee must be accustomed to working with a heavy daily workload and seasonal fluctuations.
Employee must be willing to assist other staff members as needed and directed, able to travel on occasion to meetings and conferences, and able to adjust work schedules.
Supervision will be from the CWTAP Associate Director. On occasion, there will be additional program partners who need assistance.
