The purpose of this position to contribute to the Company’s success by providing complex administrative reporting to the Head of Executive Operations in the Office of the Chief Executive Officer. This role will ensure that the daily and on-going executive, administrative and operational support is accomplished in a way that supports the Company’s business initiatives, core beliefs, and organizational culture.
Perform a variety of complex administrative and clerical accounting duties in support of the Office of the CEO and its day-to-day operations, taking care of all administrative responsibilities for the Office in the absence of the Head of Executive Operations.
Support the Head of Executive Operations in coordinating and tracking logistical arrangements for the CEO and members of the Board of Directors, including but not limited to flights, ground transportation, lodging and meeting logistics itineraries.
When appropriate, provide back-up executive support at offsite Executive Leadership and Board of Directors meetings.
Assist in organizing, prioritizing, and expediting the flow of work by interpreting and communicating requests to executive/senior leadership, Zoetis colleagues, and external partners/stakeholders with professionalism, tact, and sound business judgement.
Schedule and arrange both virtual and in-person meetings including managing multiple Zoom accounts, conference room set up, visitor registration, and catering requirements. Many of these complex meetings will span multiple time zones, so it is critical to take a big picture approach when confirming such meetings.
Create, manage, track, and organize all purchase orders and process necessary payments accordingly.
Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging, and meeting accommodations.
Prepare, reconcile, and track expense reports through Concur, the Company’s Travel and Entertainment Expense system.
Assist with the posting of documentation on the Office of the CEO’s Teams site for Executive Leadership Meetings.
Provide outstanding customer service to build strong working relationships both internally and externally.
Support ad-hoc projects as needed.
Act as back-up coverage for other Executive Leadership Assistants.
Perform other administrative duties including expertly managing phone inquiries and e-mail; sorting and responding to mail as needed.
Apply the utmost discretion given exposure to the most sensitive and confidential company information that others on the executive assistant team may not be privy to.
Reflect the style and company culture of the Office of the CEO when handling all business activities.
EDUCATION, SKILLS, ABILITY
High school diploma or equivalent. College/University degree preferred.
You are obsessively organized. Have excellent time-and-project-management skills.
You are honest, reliable, and trustworthy. You hold confidentiality to the highest of standards.
You are a self-starter who is efficient and takes initiative. By the time someone asks you about it, you’ve probably already done it and you never have to be asked twice.
You are proficient in working on a variety of platforms and apps and can navigate everything from email to Excel.
You are a responsive and a clear communicator.
You love helping others and amplify the effectiveness of those around you with your emotional intelligence and organizational skills.
You enjoy managing multiple projects/tasks at the same time.
