Administrative Assistant for the School of Intercultural Studies:

The School of Intercultural Studies at Johnson University is seeking a full-time administrative assistant to assist the Dean and Director for the School of Intercultural Studies and the Online Undergraduate and MA programs. This individual would perform routine administrative functions such as drafting correspondence, scheduling appointments, organizing, and maintaining paper and electronic files, or providing information to callers. Job Summary

The position of Administrative Assistant will assist the Dean and Director of the School of Intercultural Studies.

Administrative Support:

Develop strategies, and gather data, trends, and projections to aide in the SIS yearly budget in order to improve efficiency, productivity, and profit analysis for the school. Research, analyze information & processes, and develop effective strategies, with the help of the dean and program director.
Produce documents related to reports that help refine specific processes by analyzing current practices.
Send birthday cards to all SIS students.
Create and send Dean’s List certificates to online students.
Maintain a shared online calendar to reflect sessions, events, evaluations, etc.
Maintain an ongoing academic catalog revision file. Determine and communicate catalog updates with the assistant director of the institutional effectiveness & research office.
Register dean and program director for conferences, reserve hotel rooms, renew professional subscriptions, develop travel budget, and coordinate expenditures with the academic’s office.

Faculty and Part-Time Faculty Support:

Develop and maintain spreadsheets for faculty and part-time faculty teaching loads.
Determine overload pay for full-time faculty and issue contracts per term.
Create and administer part-time course development and teaching contracts per term and session.
Serve as liaison between part-time faculty and all other departments on campus.
Gather book lists for all online courses each session and put them on the e-Campus site.
Oversee collection of syllabi at the start of each session; forward all SIS online syllabi to the provost’s office each session.
Provide support to faculty and part-time faculty so that they can effectively fulfill their role at the university (e.g., function as a liaison with students and faculty when needed, follow up for textbook selections processes, etc.)
Collaborate with the program director to identify part-time faculty needs.

Support for Online Programs and Students:

Advise all students in the online undergraduate programs and graduate programs.
Send a welcome email to new students with information about Johnson University, SIS, course schedules, Sakai, who to contact at JU for various information, etc.
Coach and support students and potential students, and communicate with JU staff as needed regarding student needs.
Gather data, create, and maintain undergraduate and graduate online course schedules for students, dean, program director and other JU staff and departments.
Create and maintain program planning/guide sheets for each student. This aids in advising and determining course offerings and schedules.
Gather lists, determine budgets, and order online textbooks for all online SIS students for each session. Coordinate expenditures with the academic office.
Communicate regularly with the registrar, student accounts, and financial aid offices regarding the status of students.
Coordinate schedules, respond to advisee questions & issues and facilitate general business correspondence with Pioneer Bible Translators.

Knowledge and Skills Requirement:

Microsoft Word and Excel.
Interpersonal skills.
Strong writing and communication skills.

Education:

Bachelor’s degree.
