Job Description :
The Administrative Assistant is a direct support to the Executive Leadership Team, consisting of the President and Chief Executive Officer, Chief Human Resources Officer, Chief Financial Officer, General Counsel, Chief Operations Officer, Chief Supply Chain Officer, and Heads of Sales. The role will report to JoAnn Murray, Chef Human Resources Officer, and take day-to-day direction from the Executive Assistant, Jennifer Nunez.

Essential Duties and Responsibilities:

Screen all incoming calls and manage messaging and follow-ups for all call traffic.
Assist in the coordination of onsite and offsite programs, events, interdepartmental meetings, or other conferences.
Prepare and sends various correspondence to include letters, memos, forms, and presentations, as directed.
Arrange detailed travel plans and itineraries and compile documents for travel-related meetings.
Process all expense reports and coordinate submission of all receipts, invoices, or other financial documents
Provide backup assistance to EA for all calendar-related issues to include scheduling, preparation of materials for executives, emails follow-ups, etc.
Distribute and route all department mail, inclusive of incoming and outgoing packages.
Coordinate with help desk to resolve any technology related issue(s) or request(s).
Assist with other projects, as needed.
Requirements:
Minimum Requirements:

Minimum 4-7 years’ experience as an Administrative Assistant

Supervisory Responsibilities:

Skills/Knowledge/Abilities:

High School Diploma or General Education Degree
Ability to execute on assigned projects with minimal supervision and able to independently handle daily routine
Excellent organizational skills; ability to prioritize multiple priorities and pay strong attention to detail.
Navigate tight timetables successfully.
Computer skills and working knowledge of MS Office programs such as Outlook, Word, Excel, and PowerPoint.
Strong interpersonal skills and ability to communicate (verbal/written) effectively.
Self-motivated and strong analytical / problem solving skills.
Ability to collaborate at all levels of the organization and across other functional areas.
Ability to maintain a high-level of confidentiality.
